DC Entertainment seeks a Receptionist for the Administration department.
Greets and screens visitors, talent, vendors, job applicants and meeting attendees to establish purpose of visit. Directs visitors by maintaining employee and department directories. Ensures visitors are appropriately escorted to correct company representative and not left unattended.
Answers phone, directs calls, takes and relays messages, schedules courier service for pick-up’s, maintains logs of all incoming and outgoing packages by courier service and other sources. Validates guest parking and provides passes for guests and employees when necessary.
Responsible for ordering office supplies for the reception floor copy rooms as well as kitchen supplies on all floors. Notifies vendor of any supply issues or equipment in need of repair in kitchens and/or vending machines.
Provides a safe, secure and clean reception area by following procedures and policies.
Maintains reservations for shared conferences rooms. Assists in resolution of scheduling conflicts. Help troubleshoot minor AV issues for conference rooms.
Liaises with Corp. Real Estate regarding minor facility requests such as office temperature control, janitorial services, building maintenance, etc.
Process building access forms; maintain building and parking access matrix.
Maintains Log of unsolicited letters and scripts and replies by sending form letters prepared by the DC Legal Department.
Reconcile P-card purchases and travel expenses for Director, Administration.
Code vendor invoices for processing via SAP.
Assist Supervisor and Director of Administration with special events for employees.
Performs other duties as assigned.
High School Diploma or equivalent required.
Prior administrative experience preferred.
Previous experience in publishing and/or entertainment industry preferred.
Must be proficient in proper and basic telephone techniques.
Must be able to communicate effectively and tactfully with individuals at all levels, both on the telephone and in person.
Excellent verbal and written communications skills.
Must have knowledge of file set-up, maintenance, filing procedures, basic math, spelling, grammar, punctuation, and report & letter formats.
Must be proficient with Microsoft Office including Excel, Word and Powerpoint.
Must have knowledge of SAP.
Must have proficient typing skills.
